Annual program

The annual maintenance program

Walk-throughs on a schedule, repair hours set aside, and a scope sheet for everything we find.

  • Walk-through

Two walk-throughs a year, and a scope sheet for everything we find.

    • Spring and fall walk-through with photo report
    • A scope sheet for each finding
    • The year's maintenance calendar
    • Repair hours (repairs are quoted on their sheets)
    • Board meeting attendance
    Term:
Priced per building, per year, by number of units.
  • Seasonal care

    Most buildings start here

The walk-throughs plus hours set aside for the small repairs that come up.

    • Everything in Walk-through
    • 40 repair hours a year, used as needed
    • Gutters cleared in spring and fall
    • One board meeting a year
    • Roof, masonry and porch projects (own scope sheets)
    Term:
Priced per building, per year, by number of units.
  • Full building

Four walk-throughs, a larger bank of hours and leak visits booked ahead of scheduled work.

    • Quarterly walk-throughs and photo reports
    • 120 repair hours a year, used as needed
    • Gutters cleared twice, leaders checked
    • Up to four board meetings a year
    • Replacement of a roof, facade or porch (capital scope sheet)
    Term:
Priced per building, per year, by number of units.

This is a maintenance program, not insurance and not a reserve study. It doesn't pay for storm, fire or water damage, and it doesn't replace your master policy. Cancel with 30 days' written notice; any prepaid quarter not yet used is refunded.

By building size

What sets the price of your program

  • What sets the price

The program is priced per building, per year. The price rises with the number of units and with the plan you choose: walk-through, seasonal care or the full building.

    • Units: 2 to 6, 7 to 20 or 21 to 60

    • A building over 60 units gets its own proposal

  • What the proposal includes

The plan, its price, what is included, what is not, and how to cancel.

  • The first walk-through

One visit of up to two hours for a building of up to 20 units. It ends with a photo list of what we saw.

  • When you get the number

In writing, with the proposal, after the walk-through. A repair outside the program has its own scope sheet with its own price.

  • Cancelling and payment

Cancel with 30 days' written notice; any prepaid quarter not yet used is refunded. Fixed-price scope sheets bill in stages tied to finished work.

Three ways to look after a building

Repair when it breaks, a program or a capital project

They are not rivals. Most buildings use all three at different times, and we do all three.

Questions about the program

What counts as a repair hour?

Time on site by a crew member, in tenths of an hour, on work too small for its own scope sheet: a loose rail, a door closer, a sealant touch-up. Materials are listed on the invoice.

What happens to unused hours?

The proposal says whether hours carry over. Our sample terms don't carry them past the program year; the owner sets this.

Is this a reserve study?

No. A reserve study estimates the life and cost of big components for long-range funding. The walk-through finds what needs doing this year, and its photos can feed a reserve study done by someone else.

Can we cancel?

Yes, with 30 days' written notice. We refund any prepaid quarter not yet used. The proposal states the terms in full.

What isn't covered?

Capital projects, damage from storms, fire or water, electrical, plumbing, gas and elevator work, and anything inside a unit.

Ask for a proposal for your building

Tell us the address and the number of units. We walk it first, then write the proposal.
